FluentSMTP monitoring

Know when FluentSMTP stops sending.

An expired key. A refused connection. A site that normally sends emails going quiet. Operanse watches FluentSMTP and tells you when something needs attention—by Slack, SMS, WhatsApp or email.

Keep FluentSMTP sending. Let Operanse watch for problems.

Email monitoring is included in Monitor ($39 USD/site/month) and Insight ($99). Your trial includes 14 days of Insight. The free Watch plan does not monitor email or forms.

Illustrative. One week of email handed to the mailer, drawn against the site’s own normal for each hour. On Friday afternoon sending stops while orders keep coming.

01

Your site can look fine while its emails are failing.

Customers can still browse. Orders can still come in. But a provider key has expired, Gmail or Outlook authorisation has been revoked, or an SMTP connection is refusing your credentials.

The first person to notice may be a customer waiting for a password reset or order confirmation.

FluentSMTP gives you useful logs and failure notifications. Operanse adds ongoing monitoring outside WordPress, with alerts through channels that do not depend on your site’s email connection.

02

Watch refusals. Notice unusual silence.

  1. Know when your provider refuses an email

Operanse counts emails sent through FluentSMTP and whether the provider accepted or refused them. It records a short failure category, such as “SMTP authentication refused”, so you have a starting point for investigation.

All FluentSMTP connections are counted, including when you route mail by sender address. There is no separate monitoring setup for each connection.

  2. Know when email volume falls below normal

A failure log can show a refused email. But what if the site stops trying to send?

Operanse learns your site’s usual email volume by hour across the week. It can flag unusual silence even when there are no new refusals to log.

Checks for a complete stop work from day one, with alerts within about 30 minutes. Comparisons with normal volume start telling you things on day three, after about 48 hours of data. Learning the weekly pattern takes about two weeks.

  3. See email alongside the rest of the site

Check email activity alongside orders, payments, forms, background tasks and outside services. See whether the problem is limited to mail or whether other activity has changed too.

On Insight, each critical alert also includes an AI review of the likely cause and supporting evidence, with 6 reviews per site per day included.

Operanse alert
Email sending failures (SMTP, FluentSMTP)

12 emails refused in the last 30 minutes.

Failure category: SMTP authentication refused.

Receive alerts by Slack, SMS or WhatsApp as well as email. When your site’s email connection is failing, you still have another way to hear about it.

04

Keep FluentSMTP. Add a wider view.

FluentSMTP already provides an email log, failure notifications by email, a daily digest and connection health checks.

Operanse adds three things:

  • Alerts outside your site’s mail connection. Reach your team by Slack, SMS or WhatsApp.
  • A baseline for this site. Notice when email volume falls below what is usual for that hour.
  • Monitoring beyond email. Watch mail alongside orders, forms and the services your site relies on.

Your existing FluentSMTP setup stays in place. Operanse watches and tells you. It does not change settings, retry emails or resend them.

05

What “sent” means here

Operanse sees whether FluentSMTP’s email provider accepted or refused an email. Acceptance does not prove that it reached an inbox. Operanse cannot see later bounces, spam folders or inbox placement.

If FluentSMTP’s fallback connection sends an email after the primary connection fails, Operanse counts it as sent. It does not currently flag that primary connection failure.

06

It won’t slow your site down

During a visitor’s page view, Operanse Agent appends one line to a local file. It makes no database query and no call to Operanse. Measured PHP overhead is about 0.02 ms per page view. Pages served from cache never load it. How it’s measured

If Operanse is unreachable, your site carries on as normal. Nothing waits on it.

07

It never sees your customers’ data

For email monitoring, Operanse receives counts, the mailer plugin’s name and a short failure category.

It never records email addresses, subjects, message bodies, headers or attachments. It also never records form fields or entries.

The agent is read-only. It cannot change your site, and no capability to do so exists. Security

08

Connect your site in four steps

  1. Create your account at app.operanse.com and add your site.

  2. Install Operanse Agent. In WordPress, go to Plugins → Add New and search “Operanse”.

  3. Pair the site. Paste the one-time pairing token into the plugin’s settings page.

  4. Let it count. The agent detects FluentSMTP automatically and starts counting. There is nothing to configure for the integration.

Frequently asked questions

FluentSMTP already notifies me. Why add Operanse?

FluentSMTP’s email notifications are useful. But an email alert can be affected by the same sending problem it is reporting. Operanse also alerts through Slack, SMS and WhatsApp. It learns your normal email volume, notices unusual silence and monitors the wider site.

Does it work with multiple connections?

Yes. Operanse counts mail across all FluentSMTP connections, including sender-based routing. If a fallback connection succeeds after the primary fails, the email counts as sent; the primary failure is not currently flagged.

Will it tell me whether an email reached the inbox?

No. It sees acceptance or refusal by the email provider. It cannot see later bounces, spam folders or inbox placement.

Do I need to change my FluentSMTP settings?

No. Pair Operanse Agent with your account and it detects FluentSMTP automatically. Your connections and routing stay as they are.

Which plan do I need?

Monitor or Insight. Monitor is $39 USD per live site per month. The 14-day trial includes Insight. Free Watch does not include email or form monitoring.

Can I use it across client sites?

Yes. Monitor and Insight include unlimited users. Organisations with 10 or more sites get 20% off every site, and staging and development copies are free on paid plans.
