WPForms monitoring

Know when WPForms stops bringing in enquiries.

A contact form can break without the page breaking. Operanse works with WPForms to notice when the submissions you normally receive stop arriving, and shows you what changed shortly before.

Watch the forms your business depends on, without reading a single entry. Works with WPForms Lite and the paid versions.

Form and email monitoring require Monitor ($39 USD/site/month) or Insight ($99). Your trial includes 14 days of Insight. Free Watch does not monitor forms or email.

Illustrative. One week of submissions to an enquiry form, drawn against the form’s own normal for each hour. On Tuesday morning the form goes quiet.

01

A broken form looks like a slow week.

A visitor fills in your contact form and presses Submit. A script conflict after a plugin update means nothing happens. Nothing reaches WordPress, so there is no error to find.

Or a caching change serves an out-of-date security token, and WPForms turns genuine visitors away. A page is rebuilt and the form is left off it. The site still looks healthy, but enquiries stop.

Sometimes the form works and the notification email does not. Entries collect in WPForms while your team assumes nobody has been in touch.

Usually the first person to notice is a customer who rings to ask why nobody replied.

02

Watch each form against its own normal activity

  1. Count every submission

Operanse counts submissions for each WPForms form. Submissions are never sampled. Where it finds the page a form sits on, such as “Contact” or “Book a consultation”, it shows the form by that page with a link back to it.

  2. Notice when a busy form goes quiet

Operanse learns the submission volume that is normal for each monitored form at each hour of the week. If submissions stop when they would normally arrive, it raises an alert. That can reveal a form broken in the browser, where nothing reaches the server.

  3. See rejected submissions separately

A submission WPForms starts to process but does not accept, for example because a required field is missing or a check fails, is counted as a rejection, apart from accepted submissions. A rejection is not treated as proof that the form is broken. A surge in rejections is visible, giving you a reason to check whether genuine visitors are being turned away.

  4. Watch notification sending too

WPForms notifications use your site’s mail. Operanse’s email monitoring watches sending failures separately, so a form receiving entries and a site failing to send email are distinct problems. Mail monitoring sees acceptance or refusal by the mail plugin or provider; it cannot confirm that a notification reached an inbox.

  5. See what changed nearby

Plugin, theme and WordPress changes are tracked. An alert can show that WPForms, a caching plugin or your theme was updated shortly before submissions stopped. That is a place to start investigating, not proof that the update caused the problem.

An alert that gives you context

The “Free consultation” form (page: Book a consultation) has had no submissions since 10:20. On a Monday morning it usually gets 4 to 9 an hour.

Changed shortly before: caching plugin updated, 10:05.

Receive alerts by email, Slack, SMS or WhatsApp. Insight also adds an AI review to every critical alert, with a likely cause and supporting evidence. 6 reviews per site per day are included.

04

Forms are found automatically. You choose what matters.

Operanse finds your WPForms forms and proposes the ones that look important. You confirm which to monitor and which are critical.

There is no tracking code to add to each form. Nothing is monitored until you confirm it.

05

Keep WPForms. Add a watch on the silence.

WPForms gives you entries, notifications and reports for the submissions that arrive. When a broken form sends nothing to the server, there is no new entry and nothing to report.

Operanse adds the expected activity: how many submissions this form normally receives at this time, and whether they have stopped arriving.

An uptime check can confirm that the page loads while missing a form that no longer works. Operanse watches submission activity alongside email sending and the rest of your site’s operations. Agencies can see that activity across multiple client sites.

06

What this monitoring can, and cannot, tell you

Operanse does not fill in or test your forms. It watches real submissions and notices when expected activity is missing.

A form receiving several enquiries an hour gives it evidence much sooner than one receiving a single enquiry a week. There is no fixed detection time for every form. Quiet forms need more time before a lack of submissions means something unusual.

Rejections are counted as one group: Operanse does not tell a missing field from a failed spam check. Spam that WPForms blocks before it starts processing a submission may not be counted at all. An unusual drop can also reflect fewer visitors, so an alert is a reason to investigate.

The page a form sits on is found from the WPForms shortcode. A form placed with a block or a page builder is still monitored, but may be shown by its own name without its page.

Email monitoring cannot see bounces, spam folders or inbox placement. Operanse alerts you to what it sees. It does not repair forms, change settings or resend notifications.

07

It never reads your entries

Operanse never records field values, form entries or who submitted them. For forms, it sends the form’s number, the page it sits on, and counts of submissions and rejections.

Names, contact details and the answers people type into your forms are not collected.

For email monitoring, it never records email addresses, subjects, message bodies, headers or attachments. It sends counts, the mailer plugin’s name and a short failure category.

The agent is read-only. There is no capability for Operanse to change your site. Security

08

It won’t slow your forms down

Recording a submission means appending one line to a local file.

During a visitor’s page view, the agent makes no database query and no call to Operanse. Measured PHP overhead is about 0.02 ms per page view. Pages served from cache never load it. How it’s measured

If Operanse is unreachable, your site carries on as normal. Nothing waits on it.

09

Connect your site in four steps

  1. Create an account at app.operanse.com and add your site.

  2. In WordPress, go to Plugins → Add New, search Operanse, and install Operanse Agent.

  3. Paste the one-time pairing token into the agent’s settings page.

  4. Operanse detects WPForms and finds your forms. Confirm which ones to monitor and which are critical.

Learning normal activity takes about 48 hours of data, so Operanse starts telling you what’s unusual from day three where there is enough activity. Allow about two weeks to learn a weekly pattern. Low-volume forms take longer to assess reliably.

Frequently asked questions

Does Operanse read my WPForms entries?

No. It records counts, the form’s number and the page it sits on. It never reads field values, entries or the identity of the person submitting.

Does it work with WPForms Lite?

Yes. Lite and the paid versions are watched the same way. Entries do not need to be stored in WPForms for submissions to be counted.

Will it slow my forms down?

Recording a submission adds one line to a local file. Nothing waits on Operanse, and your site continues normally if the service is unreachable.

Do I need to configure every form?

No. Forms are found automatically. Operanse proposes the ones that look important, and you confirm which to monitor and which are critical. Monitoring does not start without your confirmation.

How quickly will it notice a broken form?

That depends on the form’s usual activity and how much history Operanse has. A form that normally gets several submissions an hour provides evidence sooner than one that gets one a week. Operanse watches real submissions; it does not run test submissions on a timer.

What if submissions work but notification emails do not?

Operanse monitors email sending separately. Refused sending attempts can raise an email alert even while the form continues receiving entries. An accepted email does not prove that the notification reached your inbox.

Does it work with other form plugins?

Yes. Operanse also works with Gravity Forms and Contact Form 7. Custom forms can connect through six documented actions.

Which plan do I need?

Monitor or Insight. Both include form and email monitoring. The 14-day free trial includes Insight. Free Watch does not monitor forms or email.

Don’t find out from a customer that your form was broken.

Let Operanse watch the forms your business relies on, compare submissions with normal activity, and tell you when something needs attention.
